We are looking for a competent and reliable executive assistant to support our senior management and office team. You will be responsible for managing the executives' schedules, correspondence, and administrative tasks. You will also act as a liaison between the executives and internal and external stakeholders, ensuring effective communication and collaboration.

Responsibilities:

    • Manage the executives' calendars and appointments, and coordinate meetings and events
    • Handle phone calls, emails, and letters on behalf of the executives, and filter and prioritise
    • incoming requests
    • Prepare and edit documents, reports, presentations, and agendas for the executives
    • Prepare and edit client reports
    • Review client invoices and correspond with client queries
    • Manage company purchase orders
    • Maintain and update files, records, and databases for the executives
    • Conduct research and analysis as needed by the executives
    • Handle confidential and sensitive information with discretion and professionalism
    • Arrange travel and accommodation for the executives and prepare travel itineraries
    • Provide general administrative and clerical support to the office
    • Answer service desk phone calls as a last resort and create tickets on our system

To be successful in this role, you will have:

    • Proven experience as an executive assistant or in a similar role for a minimum 3 years
    • Excellent verbal and written communication skills
    • Proficient in Microsoft Office and other office software and tools
    • Proficient operating a Windows PC
    • Experience with IT service desk software will be highly favourable
    • An understanding of basic cyber security principles, advanced training will be provided
    • Ability to multitask and prioritise effectively
    • Strong organisational and time management skills
    • Attention to detail and accuracy
    • High level of initiative and problem-solving skills
    • Ability to work independently and as part of a team
    • Professional and courteous demeanour
