About the role:

We seek a highly motivated People Operations Specialist to join our growing team. The ideal candidate will bring enthusiasm and maturity to support various needs across our People team discreetly and respectfully. You will manage onboarding and offboarding processes for APJ and EMEA, and assist in optimizing people operations processes to enhance productivity from our India office. This role reports to the Director, People Partner & Ops based in the USA.

What You’ll Be Doing

    • Onboarding
    • Onboard employees
    • Manage record data and data entry, including right to work, passport/visa, and immigration applications.
    • Partner with Talent & G&A teams to manage new hire data and ensure a seamless transition from candidate to new hire
    • Coordinate applicable tax, benefits forms & agreementsHelp coordinate or purchase company equipment and swag.
    • Conduct new hire orientations
    • Assist with benefits enrollment processes

    • HRIS Management
    • Assist with HRIS reporting and updating employee records (HRIS: Workday)
    • Ensure timely follow-up on employment verifications
    • Troubleshoot and resolve issues related to HRIS data and functionality to ensure accurate and up-to-date information.

    • Company Documentation
    • Maintain and Suggest Improvements to Company Wiki & HR Information/Templates
    • Oversee the organization and upkeep of the company wiki, ensuring that HR policies, procedures, and resources are accurate and accessible
    • Regularly review and update HR information and templates (e.g., onboarding checklists, benefits guides, policy documents) to reflect current practices and legal requirements for the region.
    • Collaborate with team members to identify and implement improvements to documentation, ensuring that it meets the needs of employees and aligns with best practices.
    • Develop and maintain a centralized repository for HR documents and templates, ensuring they are easily retrievable and consistently formatted.

    • Offboarding
    • Offboard employees.
    • Prepare and send exit paperwork.
    • Manage Asana board tasks and HRBP exit interviews feedback.
    • Revoke system access and enter termination details in the HRISCoordinate the return of company equipment.
    • Ensure timely completion of offboarding tasks

    • Process Improvement
    • Maintain Effective Employee Life Cycle Procedures: Collaborate with HR and cross-functional teams to design and refine processes that streamline the employee lifecycle, from onboarding to offboarding, ensuring a seamless and positive experience for all employees.
    • Efficient Workflows: Analyze current workflows within the People function, identifying bottlenecks and areas for improvement. Propose and implement changes to optimize processes, reducing manual tasks and increasing overall efficiency.
    • Document and Standardize Processes: Maintain comprehensive documentation for all People Ops processes, ensuring consistency and clarity. Regularly review and update these documents to reflect any changes in procedures or tools.

    • Communication and Engagement
    • Act as an ambassador for Kong in all forms of communication with new hires and existing Kongers.
    • Assist in the employee recognition programs and SWAG distribution.
    • Manage wellness initiatives and other engagement activities.
    • Communicate with team members via Slack channels and HRIS Workday Cases

What You’ll Bring

    • Bachelor’s degree in Human Resources or a related field
    • 1-2 years of experience as an HR Coordinator/Specialist working cross-functionally with global teams in a remote software startup 
    • Passion for learning and adapting to new technologies
    • Meticulous attention to detail, a love for working with data, and ability to maintain data accuracy
    • Proficiency with G Suite, Workday, and advanced Excel skills (shortcuts, formula functions, pivot tables, charts)
    • Fantastic organizational and time management skills with the ability to multitask in a fast-paced environment.
    • Experience and confidence interacting with leadership
    • Ability to recognize and act upon process improvement opportunities for efficiency
    • Desire to learn and understand employment law (within region and globally)
    • Excellent verbal and written communication skills
    • Self-directed with the ability to manage time independently
    • Ability to maintain confidentiality
    • Works well under pressure and meets tight deadlines
    • Full understanding of HR functions and best practices
