Responsibilities:
Proposal Coordination: Manage the end-to-end proposal process, including planning, organizing, and coordinating all activities related to proposal development. Establish and communicate timelines, assign tasks, and ensure deadlines are met.
Content Development: Develop, write, and edit proposal content to ensure clarity, consistency, and alignment with solicitation requirements and company standards. Tailor responses to address the specific needs and evaluation criteria of each opportunity.
Compliance: Ensure all proposals comply with solicitation requirements, company policies, and industry standards. Conduct detailed reviews to verify that all elements are complete, accurate, and meet the specified guidelines.
Team Collaboration: Work closely with subject matter experts (SMEs), sales teams, project managers, and other stakeholders to gather necessary information and insights for proposals. Facilitate communication and collaboration to ensure a cohesive and well-informed proposal.
Document Management: Organize and maintain proposal-related documents, including templates, boilerplate content, past proposals, and reference materials. Ensure that all documents are current, accessible, and properly versioned.
Review and Approval: Coordinate internal review and approval processes for proposals. Schedule and conduct proposal reviews (e.g., color team reviews), gather feedback, and make necessary revisions to enhance the quality and competitiveness of the proposal.
Presentation Materials: Develop and prepare presentation materials for proposal-related meetings, client presentations, and oral proposals. Ensure that materials are professional, polished, and effectively communicate the key messages.
Competitive Analysis: Conduct research and analysis on competitors, market trends, and client needs to inform proposal strategy and positioning. Use insights to enhance the competitiveness of proposals.
Continuous Improvement: Identify and implement best practices and process improvements to enhance the efficiency and effectiveness of the proposal development process. Share lessons learned and provide training to team members as needed.
Post-Submission Activities: Manage post-submission activities, including client follow-up, clarification requests, and debriefing sessions. Analyze feedback and outcomes to inform future proposal strategies and improve win rates.
Qualifications:
Bachelor’s degree in Business, Marketing, Communications, or a related field. Master’s degree is a plus.
6+ years of experience in proposal management, business development, or a related role.
Strong understanding of the proposal development process and best practices.
Excellent writing, editing, and proofreading skills, with attention to detail.
Ability to manage multiple proposals simultaneously and meet tight deadlines.
Proficiency in proposal management software (e.g., RFPIO, Loopio) and Microsoft Office Suite.
Strong organizational and project management skills.
Effective communication and interpersonal skills, with the ability to collaborate with diverse teams.
Familiarity with government contracting and regulatory requirements is a plus.
APMP (Association of Proposal Management Professionals) certification or similar is highly desirable.
