Summary

Responsibilities

  • Answer a high volume of inbound calls and resolve customer inquiries via phone, email or mail.
  • Maintain customer records by updating account information.
  • Resolve product or service issues and provide solutions to complaints.
  • Process customer adjustments for financial accounts.
  • Manage accounts receivables, accounts payable, and inventory for sales personnel.
  • Assist with placing orders, processing refunds or exchanges.
  • Support the sales team by completing quotes and orders and providing product knowledge.
  • Perform data entry and research for parts and equipment ordering.
  • Create and maintain spreadsheets in Excel.
  • Provide support to Sales & Marketing leadership as needed.

Requirements

  • 3-5 years' experience in customer service or a similar job function.
  • Professional telephone etiquette.
  • Proficiency with MS Office Suite (Outlook, Word, Excel).
  • Self-motivated, organized, and ability to multi-task.
  • Excellent written and verbal communication skills.
  • Strong interpersonal skills to interact with all organizational levels.
  • Ability to build relationships with cross-functional team members.
  • Strong problem-solving and critical thinking skills with attention to detail.
  • Capacity to follow detailed instructions and handle variable problems.
  • Experience with Sage 100 is a plus.

As a Customer Service Representative, you are the "front line" of our workforce and serve as a critical connection between the customer and our employees. The Customer Service Representative administers various customer service operations to include sales order processing, account management, and warranty claims processing. 

Duties

    • Answer a high volume of inbound calls and resolve customer inquiries via phone, email or mail.
    • Maintains customer records by updating account information.
    • Resolves product or service problems by clarifying the customer's complaint; determining the cause of the problem; selecting and explaining the best solution to solve the problem; expediting correction or adjustment; following up to ensure resolution.
    • Maintains financial accounts by processing customer adjustments.
    • Manage sales person's accounts receivables, accounts payable, and inventory.
    • Assist with placement of orders, refunds, or exchanges.
    • Supports the sales team by completing sales quotes, customer orders and providing product knowledge assistance.
    • Assist with the preparation of job quotes.
    • Data entry and research for parts and equipment ordering (inventory tracking).
    • Creating and maintaining spreadsheets in excel
    • Support Sales & Marketing leadership as needed
    • Provides appropriate direction and support to team members to ensure effectiveness and efficiency of systems and procedures

Requirements

    • 3-5 years' experience in a similar job function.
    • Professional telephone etiquette
    • Proficiency with MS Office Suite (Outlook, Word, Excel)
    • Must be self-motivated, organized and have the ability to multi-task
